Position Summary
We are seeking a highly organized and proactive Permit Coordinator to serve as a key liaison between Sales and Construction. This role is responsible for ensuring a smooth transition from contract signing through permitting and pre-construction, helping keep projects moving efficiently by coordinating documentation, driving timelines, and maintaining communication across all stakeholders.
This is a coordination and follow-up focused role (permits, documentation, and customer communication). Not a technical project management position.
Key Responsibilities
- Serve as the main point of contact between Sales and Construction teams after contract signing
- Introduce yourself to customers within 1–2 days and guide them through next steps in the process
- Gather and manage all documentation required for permit submission
- Follow up daily with municipalities, engineers, and internal teams to move permits forward
- Track permit status and proactively follow up to prevent delays and keep approvals moving
- Ensure permits are properly closed after project completion
- Identify missing items or delays and take action (calls/emails) to keep projects moving
- Maintain visibility on all active projects and provide weekly status updates
- Support coordination across teams to ensure timelines and deliverables are met
- Provide a high level of customer service by communicating updates and addressing questions
Qualifications
- 3+ years of experience in a coordination, administrative, or operations role (construction industry preferred)
- Experience with permits, documentation, or project coordination
- Strong organizational skills with the ability to manage multiple tasks and deadlines
- Proven ability to follow up consistently and drive tasks to completion across multiple stakeholders
- Excellent communication and customer service skills
- Comfortable working in a fast-paced, hands-on environment with shifting priorities
- Basic proficiency with CRM systems, spreadsheets, or tracking tools
- Valid driver's license and clean driving record required
- Preferred background in construction administration, permits, dispatch, or service coordination.
Compensation & Benefits
- $18–$20/hour
- Monthly bonus structure
